How to Add a Grant and Track Requirements

Create a complete grant setup with funder, award details, recurring requirements, special requirements, risk levels, and evidence expectations.

What you will accomplish

A grant record with trackable obligations and due dates.

Step-by-step guide

Step 1

Start with funder and award basics

Select the funder, enter the grant name, choose public or private, add the award amount, and set the grant period. These fields power grant list totals, remaining award views, reports, and audit summaries.

Step 2

Capture federal award identifiers

For public awards, add FAIN or federal award ID, ALN/CFDA, UEI, federal agency, pass-through entity, and SEFA applicability. These details help standardize audit package summaries.

Step 3

Record special award conditions

Use the special requirements and compliance flags for Davis-Bacon, BABA, Section 3, environmental review, procurement rules, closeout dates, and retention expectations.

Step 4

Add normal recurring requirements

Create reporting, reimbursement, audit, monitoring, and closeout requirements with due dates and recurrence. When a grant is closed, future-facing reporting can be stopped as part of closeout workflow.

Step 5

Assign ownership and review needs

Set owners, reviewers, priority, risk level, evidence required, and approval required so the requirement matrix becomes a working task list instead of a static register.

How-to video outline

Use this outline to record a short training video with the seeded demo workspace. Keep the video focused on one workflow and avoid showing sensitive customer data.

Scene 1

Show a new grant setup

Create a sample public grant and call out the fields that show later on grant details, reports, and audit package exports.

Scene 2

Add three requirements

Add a quarterly report, a reimbursement support requirement, and a special labor-compliance requirement.

Scene 3

Review the requirements page

Filter visually through status, due dates, and risk to show how the grant record becomes operational.
